Job Description

Job Overview:

Purpose We are seeking a highly organised, process-driven Golf Operations Supervisor to support the Golf & Leisure Operations Manager in planning, implementing and sustaining consistent, high-quality golf operations across the estate. The role is pivotal to delivering a first-class golf experience through rigorous processes, proactive planning and disciplined execution. The post-holder will also deputise for the Operations Manager as required.

Key Responsibilities:

Operational Planning & Implementation

  • Develop, maintain and implement operational plans, standard operating procedures (SOPs) and checklists for the Golf Reception, Golf Academy, Practice Facilities and Golf Course.
  • Produce and manage daily, weekly and seasonal operational schedules (staffing rotas, tee-sheet allocation, practice bay usage, buggy deployment), ensuring plans are communicated and executed reliably.
  • Coordinate pre-event and tournament plans including Function sheets (BEO), staffing assignments, equipment logistics and contingency arrangements.

Process Management & Continuous Improvement

  • Own and refine core processes (guest check-in/out, starters’ procedures, course flow, incident reporting, maintenance request protocols) to increase consistency, safety and service quality.
  • Implement quality controls and auditing routines (site inspections, service spot-checks, fleet checks) and act on findings to improve performance.
  • Lead projects to streamline operations and reduce cost or risk, documenting outcomes and embedding changes into SOPs.

Customer Experience — Delivered by Design

  • Ensure all guest interactions are underpinned by clear processes that guarantee a premium experience from arrival to departure.
  • Manage tee-time flow and starters’ procedures to minimise delays and maximise course throughput.
  • Use feedback and data to adjust operational plans and service protocols to continuously enhance guest satisfaction.

Team Leadership & Communication

  • Lead, train and coach operational staff on procedures, playbooks and best-practice execution; ensure team members understand their roles within each plan.
  • Conduct briefings and debriefs to align the team to daily objectives and to capture lessons learned.
  • Provide clear, timely communication with the Operations Manager and other departments to ensure coordinated execution of plans.

Fleet, Facilities & Safety Oversight

  • Support implementation and monitoring of maintenance schedules and pre-use checks for all equipment and facilities.
  • Ensure health & safety and compliance procedures are embedded in operational processes and followed by all staff.
  • Maintain accurate records (inspections, incident logs, maintenance histories) and escalate issues where necessary.

Deputising & Decision-Making

  • Step in to manage the operation in the absence of the Golf & Leisure Operations Manager, implementing established plans and making operational decisions within agreed parameters.
  • Escalate when necessary and provide clear handovers.

Requirements

  • Applicants must demonstrate a genuine passion for golf and a natural desire to deliver a warm, authentic and memorable experience for every golfer. Exposure to and understanding of first-class golf venues and exceptional customer service standards is highly desirable, alongside a commitment to creating the same outstanding guest experience for all guests at Stoke Park.
  • Preferably the candidate with be PGA qualified or have achieved a CMDiP with the Club Managers Association of Europe or have started the CMAE education pathway.
  • Proven experience in golf operations, hospitality or a related environment with demonstrable focus on processes and planning.
  • Strong organisational skills with experience producing and executing operational plans and SOPs.
  • Leadership experience with the ability to train, motivate and hold teams accountable to standards.
  • Excellent communication skills and IT literacy (tee-sheet systems, scheduling tools, MS Office).
  • Flexible approach to working hours to meet operational needs.

Performance Measures

  • Compliance with SOPs and completion rates of scheduled tasks/inspections.
  • Operational reliability metrics (on-time starts, course throughput, incident frequency).
  • Guest satisfaction scores and reductions in service disruptions.
  • Successful delivery of events and adherence to event function sheets.
  • Team adherence to plans and staff training/compliance rates.
